Manage your customers

Customers keeps one record for each person who pays you or books with you: their details, their payments and, if you take bookings, their visits and your notes.

Who can do this: You need to be an owner, admin, manager or developer to do this.

An analyst can view but not change anything.

  1. Choose Customers in the sidebar, then New customer.
  2. Enter their Name, Email and Phone. Optionally, add Tags: your own labels, separated by commas.
  3. Choose Create customer.

If someone already has that email or number, we say who, so you don’t make two records. Open theirs, or choose Create anyway (for example, for a family sharing a number).

Customers who book online are added automatically.

On Customers, type in Search by name, email, phone or ID. Use Show to see only Blocked or Not blocked customers. Choose a tag on someone’s row to see everyone with it.

  • Edit client changes their name, email, phone, address, date of birth and tags.
  • Email and Text open your own email or messages app.
  • Lifetime value, Successful payments and Fees · disputes sum up their history. Their payments are listed below. Choose one to open it.
  • Saved cards lists cards they’ve saved with you, and what they agreed you can charge.

With the customer’s agreement, for example on the phone or at your desk, you can save their card yourself. Nothing is charged.

  1. On their record, under Saved cards, choose Add card.
  2. Under What they agree to, say what you may charge it for. Optionally, set the Most per charge.
  3. Choose Continue, enter their card, and choose Save card.

A card is also saved when the customer agrees themselves: when they pay a payment that asks to keep their card, or book under a policy that keeps it. Paying you doesn’t save a card on its own. For how it works, choose the ? next to Saved cards.

  1. On their record, choose New payment (or Charge next to a saved card).
  2. Pick the Card and enter the Amount. Optionally, add a Description and a Statement descriptor (up to 12 characters, shown after TUPPENCE* on their card statement in place of your business name). You can’t charge more than they agreed to for one charge.
  3. Choose Charge card.

You’ll see whether it was paid or declined. If their bank wants them to confirm it, you get a link to send them. Nothing is charged until they do. To stop a card ever being charged again, choose Remove, then Remove card.

Choose Block, say Why (only your team sees it), and choose what happens When they book online: Refuse the booking or Send it to me to approve. Then choose Block. Existing bookings stay. Cancel them yourself if they shouldn’t go ahead.

Who can do this: You need to be an owner, admin or manager to do this.

  • Export saves everything you hold about them as one file, for a request to see their data.
  • Delete, then Delete client, removes their name, contact details, notes, forms and saved cards for good.
