Create spending rules

Spending rules are a named set of limits and checks you give to agents or cards. Without rules, only each card’s own limit stops a purchase.

Who can do this: You need to be an owner, admin or manager to do this.

  1. Open Cards and find Spending rules.
  2. Choose New rules.
  3. Enter a Name, such as “Software only”.
  4. Optionally, set Most for one purchase (£$€), Most in a day (£$€) and Most in a month (£$€).
  5. Optionally, enter an amount in A person approves purchases of (£$€) or more. If it’s empty, no one is asked.
  6. In When a purchase is unusual for its agent, choose Ask a person first, Let it through, but flag it or Don’t check.
  7. In Where the cards can buy, choose Any merchant, or Only these kinds and tick each kind, such as Software and cloud.
  8. Tick Only in your country (Only in the UK or Only in the US) to decline purchases from merchants abroad.
  9. Choose Create rules.
  • For an agent: beside the agent under Agents, choose the rules. All its cards follow them.
  • For one card: open the card and, under Rules, choose Rules for this card. This is the only way to give rules to your business’s own card (one with no agent).

To change rules, choose Edit beside them, then Save rules. Every card using them follows the change. If someone else saved a change while you were editing, you see the latest version to edit again.
